We are looking for an experienced Executive Assistant to provide high-level support to the Director General. This is a key position requiring exceptional organisational skills, professionalism, discretion, and the ability to operate confidently in a fast-paced international environment.

Description

  • Act as the trusted right hand and strategic support to the Director General
  • Manage a complex agenda, shifting priorities, and high-level executive commitments
  • Coordinate international travel, itineraries, and meeting preparations
  • Monitor and manage the Director General's inbox, correspondence, and follow-ups
  • Prepare presentations, briefing documents, reports, and executive materials
  • Ensure action points are tracked and deadlines are met across multiple projects
  • Organise and coordinate Board Meetings, General Assemblies, and leadership meetings
  • Take meeting minutes and follow up on agreed actions
  • Build strong relationships with members, partners, and key stakeholders across Europe
  • Liaise with internal teams to ensure smooth communication and coordination
  • Handle sensitive and confidential information with the highest level of discretion
  • Maintain accurate records, databases, and executive documentation
  • Review expenses, approvals, and administrative processes
  • Act as a key point of contact on behalf of the Director General when required
  • Support the smooth functioning of the executive office and provide back-up within the administrative team
  • Anticipate needs, solve problems proactively, and ensure nothing falls through the cracks

  • 15 to 20 years of experience in a similar Executive Assistant role
  • Previous experience supporting C-level or Executive-level leadership
  • Experience within an international organisation, association, federation, or EU environment is highly desirable
  • Outstanding written and verbal communication skills in English
  • Excellent command of Microsoft Office (Word, PowerPoint, Excel, Outlook)
  • Strong organisational and prioritisation skills

  • Highly professional, trustworthy, and discreet
  • Eager to learn and continuously improve
