As the organisation continues to grow, they are looking for a reliable Office Operations Assistant to help maintain smooth day-to-day office activities and provide essential administrative support.


Description

  • Act as the first point of contact for visitors, answering calls and welcoming guests professionally.
  • Provide administrative support including data entry, document preparation, proofreading and reporting.
  • Coordinate meeting rooms, catering arrangements and logistics for internal meetings and events.
  • Manage office supplies, kitchen stock, consumables and general workplace organisation.
  • Handle incoming and outgoing mail, deliveries and courier services.
  • Support facilities-related requests and liaise with external suppliers when needed.
  • Assist with access badge administration, workspace set-up and daily office inspections.
  • Prepare the office for opening and help maintain a clean, organised and professional working environment.

  • You have at least 1 year of experience in administration, office coordination, reception or workplace support.
  • You are comfortable using Microsoft Office applications, including Outlook, Word and Excel.
  • You communicate fluently in English. Knowledge of French and/or Dutch is considered an asset.
  • You are highly organised, proactive and able to multitask effectively.
  • You have a strong service mindset and enjoy supporting both colleagues and visitors.
  • You are hands-on and willing to assist with practical office and facilities-related tasks.
  • You are reliable, discreet and able to work independently.
  • You are available to work on-site in Brussels on a part-time basis, Monday to Friday from 9AM to 1PM.
