This Receptionist role is a front-of-house position focused on delivering a professional experience to visitors while ensuring the smooth day-to-day coordination of office operations, meeting facilities and administrative support. The successful candidate will manage reception activities, room bookings, travel arrangements, courier services and general office support within an international business environment.

Our client is a prestigious international law firm based in Brussels. To support its operations during a temporary period, they are currently looking for a Receptionist to join their team until the end of December.

Description

As a Receptionist, you will be the first point of contact for visitors and play a key role in ensuring the smooth day-to-day running of the office. Your responsibilities will include:

  • Managing the switchboard, forwarding calls, screening incoming calls and taking messages.
  • Welcoming visitors and ensuring a professional reception experience.
  • Supporting visitors with administrative requests such as printing, copying and other practical needs.
  • Managing visitor badges and access procedures.
  • Coordinating meeting room bookings and updating reservations as required.
  • Ordering catering services and assisting with meeting room set-up when needed.
  • Monitoring conference rooms and liaising with internal teams to ensure facilities are maintained.
  • Arranging travel, hotel, restaurant and transportation bookings.
  • Organising courier services and outgoing mail.
  • Coordinating flower orders and other office-related requests.
  • Acting as a point of contact with IT and other support functions when required.

  • Previous experience in a Receptionist, Front Office or Administrative Support role.
  • Excellent communication and interpersonal skills.
  • Professional, positive and service-oriented attitude.
  • Fluent English; knowledge of French and/or Dutch is a strong asset.
  • Good command of MS Office applications (Outlook, Word, Excel and PowerPoint).
  • Strong organisational skills and attention to detail.
  • Ability to remain calm under pressure and manage multiple priorities.
  • Proactive, flexible and reliable approach to work.
  • Team player with excellent relationship-building skills.
